The patient record & spotting at-risk patients
Read a patient's full history at a glance, and catch patients who are slipping before they churn.
The Patients page is your clinical and commercial view of everyone who's signed up. Front-desk (staff) logins can use it too.
Privacy: every time your team opens a patient record it's written to an audit log, and you only ever see your own clinic's patients. Handle this information accordingly.
The patient list
Switch between All patients and At risk at the top. Search by name or email, and filter by Active patients / Inactive patients. Each patient carries a status (Active / Inactive) — the Active patient flag is a manual marker your team controls from the patient's record.
Spotting at-risk patients
The At risk view (also a card on your Dashboard) flags real patients who look like they're slipping, most-urgent first, with the reason:
- Doses stopped — no completed dose in the last two weeks.
- Adherence dropping — their dosing in the last 30 days fell to half of the prior month, or they've logged repeated skips.
- Reorder overdue — their last supply has run out (plus a short grace period) and they haven't reordered.
- Gone quiet — they haven't opened the app in over a month.
The table shows why they were flagged, last visit, last dose, doses in the last 30 days (with the previous month for comparison), and their last order with when their supply runs out. It's your daily call-list for retention — reach out before they lapse. (Leads and browsers who never became patients are left out on purpose.)
Reading a patient's record
Open any patient for the full picture:
- At a glance — total spent, order count, last order, and last visit.
- Weight — their logged weight over time against their goal.
- Injections · last 12 weeks — completed vs skipped doses, with an adherence percentage and their last dose.
- Contact & tags — email, phone, join date, any tags, and whether they're synced to HighLevel.
- Attribution — where they came from (UTM source/medium/campaign), useful for knowing which ads actually convert.
- Intake forms — what they answered at signup.
- Recent orders — their order history.
- Progress photos — uploaded photos, blurred by default. Click Reveal photos to view; opening the patient record is written to the audit log. Blur keeps sensitive images private when your screen is visible to others.
Tips
- Work the At risk list a couple of times a week — a quick check-in message or reorder nudge is the cheapest retention you'll ever do.
- Use tags to segment patients (e.g.
vip,glp1) — you can then target push notifications by tag (see Re-engaging patients).
