Connecting HighLevel (CRM, chat & workflows)
Sync patients as contacts, push orders as payments, fire workflows, and power patient live chat.
If you run HighLevel, connecting it means your portal and your CRM stay in sync automatically — no exports, no double entry. It also powers the live chat your patients see inside the portal, which shows up in your HighLevel Conversations inbox.
Connect your location
- Go to Integrations.
- On the HighLevel card, click Connect HighLevel.
- You'll be sent to HighLevel to authorize the connection. Sign in and choose the location (sub-account) for this clinic, then approve access. Until HighLevel approves our renamed app listing, its approval screen may still show our previous name, HL Patient Portal.
- You're returned to the dashboard and the card shows a green Connected badge with your location name.
If the card still shows "Not connected" when you get back, click Verify connection to refresh.
What gets synced
Once connected, you control three toggles on the HighLevel card:
- Sync contacts — patients become HighLevel contacts automatically when they sign up.
- Sync orders — orders appear as payments on the contact in HighLevel.
- Trigger workflows — patient activity (signup, order) fires workflow events so your automations can pick them up.
All three are on by default. Turn any of them off if you'd rather not sync that piece.
Patient live chat
With HighLevel connected, the chat bubble in your patients' portal is wired to your HighLevel Conversations inbox — patient messages land there as their own channel, and your replies go straight back to the patient. Your team answers from the same inbox they already use.
Live chat is on every plan, including the free trial. Without HighLevel connected, patient messages land in your dashboard inbox instead.
Disconnecting
Click Disconnect on the HighLevel card to stop all syncing. Your patients and orders stay in the portal — only the CRM sync stops. You can reconnect any time.
If it's not working
- "Failed to start HighLevel connection". Try again in a moment. If it keeps failing, make sure pop-ups/redirects aren't blocked and that you're signing into the correct HighLevel account.
- Connected, but a sync error is showing. The card displays the last sync error under your location name. A common cause is the connection losing authorization — click Disconnect, then Connect HighLevel again to re-authorize.
- Chat messages aren't appearing in HighLevel. Confirm the connection is green and that your plan includes live chat, then send a test message from the patient portal.
See the dashboard and the patient app on a 20-minute call, or start a 14-day trial with no card.
